Subscribe-HR has added two new features for the management of Content across the System. Content refers to any type/s of 'Attachments' that are assigned / attached to records / objects in the System. This includes the following file types:
- SCORM.
- Video.
- Photo.
- Word.
- PDF.
- Excel.
- NOTE: there is a maximum video file upload limit of 500MB.
These new Content features work as follows:
- Content Folder/s:
- Content Folders behave like virtual 'Filing cabinets' in Subscribe-HR. Each Content Folder is associated with a specific Object / record type.
- Content saved in a specific 'Content Folder' can only be accessed / used / attached to Objects / Records that correspond to / are associated with that Content Folder.
- Notes:
- For example, it isn’t possible to save content in the Folder for ‘Company Property’ only and then access / upload it against a ‘Company Policy’ or ‘Training’ record / object.
- Content can be assigned to multiple Content Folders (and then accessed / used / attached to multiple Objects / Records types).
- Notes:
- For Objects / records that allow Users to upload / attach content to that Object / Record, there will now be a 'Content Folder' for that Content.
- If it isn't possible to upload / attached a file / content to an Object / record, then it won't be possible to create a Content Folder (to add Content to).
- The following Content Folders are created as 'Standard':
- Training.
- Additional 'Content Folder/s' can be created as required (e.g. for Content that gets assigned / attached to an 'Announcement' record / object), as long as it is already possible to upload / attached a file / content to an Object / record. If not, then it won't be possible to create a Content Folder (to add Content to).
- Content Catalogue:
- The Content Catalogue contains a series of ‘Content Folders,’ each of which relates to an Object. Each Folder in the Content Catalogue contains all the items of 'Content' (files) saved in each 'Content Folder.'
- As outlined on the Content Wiki page, each ‘Content Folder’ can only contain content assigned / related to the specific ‘Object/s’ nominated. For example, it isn’t possible to save content in the Folder for ‘Company Property’ ONLY, and then access / upload / attach it against a ‘Company Policy’ or ‘Training’ record / object. However, it is possible to save a piece of ‘Content’ in multiple ‘Content Folders’ / make it available to multiple Objects (E.G. Company Property, Company Policy and Training).
- Content saved in a specific 'Content Folder' in the 'Content Catalogue' can only be accessed / used / attached to Objects / Records that correspond to / are associated with that Content Folder.
- Note: Content can be assigned to multiple Content Folders (and then accessed / used / attached to multiple Objects / Records types).
- The System comes with a set of out-of-the-box ‘Content Folders,’ including:
- All Content.
- Training.
- Within each Content Folder, there are two subfolders:
- Active Content.
- Archived Content.
- Content records created in Team Dashboards prior to the release of the Content Folder and Content Catalogue can be 'Imported' (via the 'Import Existing Content' button / option) into the Content Catalogue and assigned to (a) Content Folder/s.
